This Privacy Policy explains how estiMedes Ltd (“we”, “us”, “our”) collects, uses, stores, and protects your personal data when you use the estimeno application and related services.

We are the Data Controller responsible for your personal information under the UK GDPR and Data Protection Act 2018.

2. Eligibility

The estimeno application is intended only for users aged 18 and above.

By using the app, you confirm that you meet this requirement.

We do not knowingly collect or process personal data from minors.

3. Information We Collect

We collect the following types of data when you use the estimeno platform:

Account and Identity Information

  • Full name and surname
  • Company name and details (address, VAT number, company number)
  • Email address and phone number
  • IP address
  • Company logo
  • Profile picture

App Usage Data

  • Estimate, Valuation, and Invoice numbers
  • Uploaded files (PDFs, images, documents)
  • Messages and attachments sent via Chat
  • Files and materials uploaded to the Board
  • Device information (browser, OS, device ID)
  • Location data (if you allow GPS access)
  • Activity logs and system events

Payment Information

  • Subscription and payment records (processed securely via Stripe, Apple Pay, or Google Pay).
  • We do not store full card details — these are processed directly by our payment partners.

4. How We Use Your Data

We use your data to:

  • Provide and manage your account and access to the estimeno platform.
  • Allow you to use application features (estimates, Chat, Board, Map, uploads).
  • Process payments and manage subscriptions.
  • Improve and maintain the platform’s performance.
  • Communicate with you regarding updates, support, or marketing (if applicable).
  • Ensure platform safety, integrity, and fraud prevention.
  • Comply with legal and tax obligations.
  • If you participate in the CMC loyalty programme, we process your account and transaction data to calculate and maintain your CMC balance.

This information is used solely for managing your rewards and is not shared with any third parties.

Marketing Communication:

  • We may use your email address and phone number to send you information about product updates, special offers, or new features related to the estimeno platform. Such communication is handled directly by estiMedes Ltd and is not shared with or performed by any third parties.
  • You may opt out of receiving promotional emails or SMS messages at any time by contacting support@estimeno.com or following the unsubscribe link provided in our communications.
  • Promotional communication is limited to our own services and partners listed within the estimeno platform. No user data is shared externally for advertising or tracking purposes.
  • We may use user location or company data internally to send relevant notifications or informational emails (for example, about new features or offers available in the user’s region).
  • This communication is handled directly by estiMedes Ltd and is not shared with any third parties or used for tracking purposes.

5. Chat and Messenger Data

  • Messages, files, and images sent through the Chat feature are stored securely on our servers.
  • These may include project-related information shared between users.
  • estiMedes Ltd is not responsible for the content shared by users.
  • Data from Chat is retained for security and troubleshooting in accordance with legal requirements.

6. Uploaded Files

  • Users may upload files (e.g. PDFs, images) to the App for internal use or for sharing within and outside the App
  • All files are stored securely on Cloudflare R2 storage.
  • estiMedes Ltd does not verify or validate the accuracy of uploaded materials and is not responsible for measurement or calculation errors derived from them.

7. Map and Location Data

  • The Map feature displays Partner and supplier locations.
  • If location access is granted, your approximate position is shown to help identify nearby resources.
  • You can revoke GPS access anytime via your device settings.
  • estiMedes Ltd is not responsible for inaccuracies in Partner listings or map data.

8. Data Storage and Hosting

  • Files and uploads are stored on Cloudflare R2 servers.
  • Primary databases are hosted within the infrastructure of CyberFolks (Katowice, Poland) and are administered directly by estiMedes Ltd.
  • We archive logs of system activity for security and diagnostic purposes.
  • Data is never transferred outside the UK or EEA unless legally required.

8A. Data Encryption and Security

  • User passwords are stored in encrypted form using strong, industry-standard hashing algorithms.
  • All other user data — including project details, estimates, uploaded files, messages, and location data — is stored as raw data within secure servers.
  • All data is transmitted securely (via HTTPS).
  • Although non-password data is not encrypted at rest, strict access controls, authentication, and internal permissions prevent unauthorised access.
  • estiMedes Ltd continuously monitors server activity and enforces network-level security to maintain data integrity and confidentiality.

9. Data Retention

  • Data is kept for as long as necessary to operate your account and provide services.
  • Upon account deletion, data may be retained as necessary for legal, accounting, or business purposes, and will be erased once no longer required.
  • Inactive accounts remain stored indefinitely unless the user requests deletion.

10. Data Sharing

  • We do not sell, rent, or share user’s personal data for advertising or tracking purposes.
  • We may share limited, non-personal information with trusted subcontractors (for hosting, email delivery, or technical maintenance) under strict data processing agreements.
  • When prices or materials from third-party suppliers (“Partners”) are displayed in the app, no personal data about the user is transmitted to those Partners.
  • Users interact with Partners directly outside the app (e.g., by visiting their websites or contacting them), and estiMedes Ltd does not share or exchange user data with such Partners.
  • We may use user location or company data internally to send relevant notifications or informational emails (for example, about new features or offers available in the user’s region).
  • This communication is handled directly by estiMedes Ltd and is not shared with any third parties or used for tracking purposes.

11. Data Deletion

Users can delete their account and associated data by:

  • Sending an email request to support@estimeno.com.

12. Cookies and Tracking

  • estimeno uses only essential technical cookies required for account login, security, and app functionality.
  • We do not use Google Analytics or tracking cookies. However, the App may display promotional content from our verified partners.

13. Your Rights (UK GDPR)

You have the right to:

  • Access your personal data.
  • Request correction of inaccurate data.
  • Request deletion of your data.
  • Restrict or object to processing.
  • Request a copy of your data (data portability).

14. Logs and Monitoring

  • Application activity (logins, uploads, messages, device events) is logged automatically.
  • Logs are retained for technical security, troubleshooting, and fraud prevention purposes.
  • These logs may include timestamps, device identifiers, and IP information.

15. Changes to This Policy

estiMedes Ltd may update this Privacy Policy at any time.

Continued use of the app constitutes acceptance of the updated version.
